NESsT is seeking an Administrative Associate (AA) for our office in Timisoara. The Administrative Associate will be responsible supporting the Romania staff, and keeping the small, dynamic office running smoothly on a day-to-day basis. Responsibilities include basic accounting and reporting, general office administration and coordination of activities with other NESsT offices in Central Eastern Europe and Latin America, travel coordination, technology trouble-shooting, event planning, document translation, and information management, according to the Romanian relevant legislation and the NESsT internal procedures.
This is a full-time position. The Administrative Associate will be directly supervised by the Country Director for Romania and will also work in coordination with the Finance & Operations Managers and the regional operations team.
Key Responsibilities – Administration: (85% of the time dedicated to these tasks)
1. Office Management:
Delivers high-quality office management for the Romanian NESsT office (including i.e. filing, postal arrangements)
Maintains database of NESsT contacts up to date in Salesforce.
Manages vendors including technology support, cleaning, travel agency, repairs, Tenants’ & Flat Owners’ Association
2. Financial Assistance:
Provides accurate and timely financial support in the areas of local financial reporting, payments and coordination.
3. Human Resources:
Supports human resources management in the Romanian NESsT office to maintain organized files and provide information to staff, when needed and appropriate.
4. Events & Meetings 2
Coordinates travel arrangements and events (i.e. meetings, workshops, retreats, conferences).
Participate at local/national workshops, conferences, as needed.
Maintains the Romanian NESsT office within local legal compliance regarding timely filings with the tax-authorities & other local/national authorities as needed.
Communications (15% of the time dedicated to this area)
Maintain NESsT Romania Webpage updated.
Oversee communication aspects of portfolio competitions and selection process.
Work with Romania Team to reach out to media and social media.
Lead in the development of the Romania quarterly newsletter.
Provide communications support for events, including Business Advisory Network events, Award Ceremonies, and Social Enterprise Day.
Oversee writing of portfolio profiles and translation of other institutional and promotional materials.
Upload photos to Flickr and videos to YouTube using NESsT guidelines. Maintain updated communications folder.
Delivers detailed support and follow through in other administrative tasks, as they arise,
such as translation, technology support, travel coordination, sfdc updates, etc.
Professional training/ higher education and a minimum of 4 years work experience (experience at nonprofit organizations a plus).
Relevant experience, particularly in the areas of office administration, travel and event
coordination. Project management experience is a plus.
Native Romanian speaker and advanced verbal and written English required.
Strong computer skills and the ability to adapt to new technologies, including work experience with Microsoft Office (emphasis on Microsoft Excel), experience with other online tools, CRM systems, Google docs.
Excellent communication and organizational skills, strong attention to detail and the ability to manage multiple tasks simultaneously.
Ability to be flexible, resourceful, proactive and innovative in small, dynamic, international, nonprofit environment with limited resources.
Experience working in a multi-cultural environment.
Ability to work independently and as a member of a team.
Other language is a plus.
Fee/Salary will be negotiated based on experience and qualification prior to employment.3
